How to build a Portfolio of Evidence that passes moderation

A simple checklist for keeping a PoE that holds up when the college and DHET moderate your marks.

Your Portfolio of Evidence (PoE) is the folder that proves you did your ICASS work. When the college and the DHET moderate marks, they check it so a complete, well-organised PoE protects the marks you earned. Here is how to keep one that passes.

Start with a table of contents

A clear table of contents at the front makes your PoE easy to moderate and easy for you to manage. List every task with its page or section so nothing gets lost.

Put your identity beyond doubt

Include your full name and ID number, and complete the declaration of authenticity signed and dated. This is your formal promise that the work is your own, and a missing declaration is a common reason portfolios get flagged.

Keep every marked task

File all your marked ICASS responses: test scripts, assignment sheets, computer printouts and any rubrics or checklists used to mark practical work. For Computer Literacy and online tasks, make sure you have printable evidence moderators need to see it on paper.

Include your schedule and record of marks

Add your subject assessment schedule so the moderator can see which tasks were due and when, and keep a record of your scores plus a consolidated record of performance. This lets anyone confirm that your marks were captured and converted correctly.

Treat it as a living document

Do not leave your PoE until the end of the year. File each task as you get it back, check that nothing is missing, and store it safely. A few minutes after each task saves a panic later.
